Certified electronic signature that is legally compliant and equivalent to a handwritten signature.

With e-signatures, your business will truly become paperless. Even the optimum paperless operations can be brought to a sudden halt if a document needs signing. The process of signing usually means that a document needs to be printed out, signed and then scanned in order to be put in the mSef e-storage or stored in the archive cabinet.

Choose the mSign electronic signing platform, a technologically accomplished and secure, tried-and-tested solution suitable for anyone deciding to completely eliminate paper from their operations, even when it comes to signing important documents.

With mSign, you can achieve tremendous savings in operating costs, while also complying with statutory requirements regarding security, and preventing any subsequent denial of credibility as well as any unauthorised interference in the already notarised documents.

FAQ

You asked, we answered, …

You can use any trust service provider that issues digital certificates.

Any digital certificates for natural persons qualified by the trust service provider can be used – AC NLB, SIGEN-CA, Pošta®CA, Halcom CA and also all other qualified digital certificates for natural persons issued abroad.

mSign allows you to use qualified digital signatures under the EIDAS Regulation, so the mSign digital signature is compilant with the EIDAS Regulation in the event when the  signatory uses a qualified digital certificate. In addition, mSign also allows you to choose other ways of signing according to your business process (eg. server signature, handwritten signature on a smart device, signature on a signature pad).

mSign allows you to sign any Word or PDF document.

There are several options so you can easily choose the one you like best. We recommend that you add signature tags in document templates (if the systems allow document templates of course). In this case, you can easily print the documents from your business application on mPrinter (virtual printer), add the desired signatories and sent the document for signature. Otherwise, you can save a PDF or Word file from your system, upload it to mSign, draw individual signature places and send it. In addition, mSign also allows you to choose other ways of signing according to your business process (eg. server signature, handwritten signature on a smart device, signature on a signature pad).

We recommend that you capture the document with a certified mScan solution and upload it to mSign portal. You can than place signature tags on the document and send in to yourself, your co-workers or clients for signature.

The secretary can easily prepare any document in Word and transfet it to mSign. In the mSign system she can select any number of signatories who can be employed within the company or an external client.

To send an agreement with mSign, upload your document and sign it with your signature or using digital certificate. Then click send and mSign will email a link to the recipient where they can access the document. Recipients click a link to open the agreement on an internet-enabled device (mobile phone, tablet, computer) and simply signs it. The document can also be sent to an external signer who is not a user of the mSign solution.

Of course, if you have a Digital Certificate for Natural Person installed on your computer or notebook, mSign allows you to sign the document using a personal digital certificate.

There are several ways. He can sign it with a signature pad or a digital certificate, if of course one of the above is already installed. The simplest way is the so-called “click to sign” (Click2Sign), where your customer receives an email with a link to the document. When clicking the link, mSign asks the customer for the password they received via SMS, and after entering the password, mSign automatically redirects the user to the document that needs to be signed. The document is signed with a trusted digital server certificate. This means that the customer does not need any additional software. Of course, a customer who is a mSign user can also sign such a document with facsimile signature using mobile device.

Yes, mSign allows you to fill out simple forms e.g. input fields, value selection, check boxes, … To prepare a document with input fields, please contact us.

Yes, you can choose any colour you want.

No, if the signature type is set to a certificate for natural persons, the document is signed with a certificate for natural persons installed on the signatory’s computer. However, another signatory may sign the same document with a digital server certificate. If there are any attachments to the document, the entire package of documents is signed with a digital server certificate (XMLDSig).

mSign allows you to pre-define a stamp that needs to be added to a document.

Yes, partners can trust a server signature that is associated with an internal user. The server certificate for the company must be issued by a qualified provider to be valid worldwide (eg. SIGEN-CA). The mSign system ensures that internal users are properly connected to the server certificate so that it cannot be misused.

Yes, the positioning of the signature on the document is optional.

User licenses are those persons who actually prepare the document for signing. This means that the number of licenses depends on the number of document preparers. The signatory does not need a license, so signing is free for the signatory.

To prepare an offer or for the appropriate selection of the package, we need two pieces of information:

  • the number of document preparers who actually get access to the mSign solution
  • the estimated number of expected signed documents, which are defined as completed transaction

A prerequisite for an e-signature is that you ensure the authenticity of the identity (i.e. authentication) of the signatory, which should be at least two-factor; eg. the e-mail address to which the document with the link is sent and the telephone number to which the mSign solution sends the unique password that opens this link.

The mSign solution signs each document with a digital server certificate, regardless of the type of signature capture. The solution also records the audit trail of each signature, and each document is also stamped with a secure time stamp. An electronic document signed in this way meets all the requirements of legislation and international standards. So the answer is, if we follow all the steps, the legal validity is not questionable*.

* In the event that a signature  under the ZUP is required, the signatory must sign the document with a qualified digital certificate.

Yes of course. The solution supports and enables the use of all qualified digital certificates that you use for access to applications of state institutions, e.g. eDavki or for electronic banking purposes.

Business partners from abroad can also use mSign. Your partners are notified of the document that needs to be signed by email. They can sign it with Click2Sign, capture the signature on a smart device or with any qualified digital certificate. The mSign solution follows all the guidelines of the eIDAS Regulation, which sets out the conditions for a qualified e-signature (the signatory uses a personally qualified digital certificate) to become the equivalent of a handwritten signature.

To send an agreement with mSign, upload your document and sign it with your signature or using digital certificate. Then click send and mSign will email a link to the recipient where they can access the document. Recipients click a link to open the agreement on a device (mobile phone, tablet, computer) and simply signs it. The document can also be sent to an external signer who is not a user of the mSign solution.

If the customer is already using our mSef solution, they should contact us at info@mikrografija.si, as the installation of the mSign solution must be harmonized with the customer’s classification plan.

Documents are stored electronically in mSign for 30 days. After 30 days, the user must ensure that the signed documents are securely stored. After the successful signing of the document, both the preparer and the signatory of the document receive the signed document in the attachment by e-mail and can then download it to their computer and store it.

To capture a handwriten signature, draw your signature on the phone or tablets screen.

  • Server certificate (Click2Sign + manual signature): The procedure is the same as for signing with a server certificate, except that in this case it is also necessary to scan the displayed QR code with a mobile device. The portal requires the entry of an additional security password, which is obtained by selecting the “Sign on mobile device” button on the computer.
